KFS Status Report

KFS – DevelopmentIn Progress
The KFS project team is continuing with the KFS development phase – fit/gap sessions have concluded for all except the Travel Events Module and Budget Construction module, Chart of Account changes have subsided, loading of balances is has been successful, all new modification requests are being reviewed for future phases, reports are being developed, testing is beginning, training documentation is being developed, and cut-over planning is starting. Feeder systems are making good progress and interface testing has begun.

  • KFS Modifications – Almost all of the modifications required for local implementation have been completed. Those required for campus functional testing have been completed, and others required for back-end processing or interfaces to UCOP should be completed by January 31, 2013. [more details]
  • KFS 4.1. vs. 5.0 decision – After a strong effort to upgrade KFS to release 5.0 over the past month and falling short on resources to get 5.0 operational in time, the project team and KFS management team decided that it would be best to stick with 4.1 for our roll-out. A small upgrade to 4.1.1 has been done which is the version we will go live with in July. Unfortunately this means that we will not be able to run a single Rice 2.0 environment (single workflow solution, single KIM access management solution) shared between the Kuali Coeus project and KFS. Migration to a single Rice environment will need to be done at a later time and will require a larger migration effort when attempted.
  • TEM (Travel and Event Management) – Development of TEM was completed and contributed to the Kuali Foundation before the holiday break. TEM (pre-release version) will be installed locally and adapted to work with KFS 4.1.1 by mid-January. We plan to roll out the TEM module by July 2013 along with the rest of KFS.
  • Chart of Accounts – The project initiation team, general accounting and other central offices have been working to finalize the KFS chart of accounts. Accounts, object codes and organization codes are completed for the campus and Medical Center, with only Medical Center plant object codes still under review by central offices. These should be finalized by mid-January. The remaining chart codes have been frozen and populated in the test and integration databases so that campus functional testing and feeder system/campus system testing can proceed in early January.
  • Forums – The campus financial community has been attending the KFS Forums which are currently held twice a month and cover KFS basics plus presentations on each of the modules. Forums are currently scheduled through February 2013, and the campus community can register for these through UC Learning Center under KFS Forums.
  • Testing and Training – Test plans have been developed and selected units/testers will begin the testing phase which will occur January-March 2013. In early January testers will be instructed on what to test and how to track their test results.
  • KFS Data Warehouse – The decision support team has been making significant progress in defining report specifications, developing the data models, and in the ETL work to build the dimensional tables. Unfortunately we are losing Katherine Gallardo, a campus financial representative whose part time appointment ended in December. She had been assisting the team with report specifications. Jason Jenson will continue the work along with newly appointed Kevin Chung, and both will also work on report development. Dimensional data models have been constructed for Chart of Accounts, Financial Transactions, GL. Incorporated KFS data elements to current data warehouse for payroll/employee data. [more details]
  • Feeder and campus system migrations – Feeder and campus system migrations are continuing with phase 1 units ready to start testing in January. The programming teams have requested a stable environment (INT database) and their testing will commence starting in January 2013. Phase II and III migration testing will continue on through their target dates later this year. [more details]
  • Cut-Over Planning
  • Kuali Foundation Membership – On December 1, 2012 UCI became a full member and partner of the Kuali Foundation in support of the Kuali Financial System. Kuali support comes from a group of like-minded institutions, the Foundation staff, and Kuali Commercial Affiliates. These three groups, in combination are used to successfully implement and maintain Kuali software. Membership in the Kuali Foundation is an opportunity for UCI to influence the development and direction of Kuali software. Kuali partners have influence on the future of the organization's deliverables through voting and can also influence project priorities.


Issues

  • The chart of accounts has been locked down for the campus and for the medical center with the exception of med center plant object codes. These will not be completed until mid-January, and we're hoping any new object code changes will not have a significant negative impact on the testing that will be under way in January.
  • We are still having problems with ACOM, our check writing vendor, so we have started discussions with an alternate vendor for a solution.
