KFS Status Report

KFS – DevelopmentIn Progress
The team is still making good progress as we continue in the development stage of the KFS project. System tests are resulting in some good bug identification which is made up of actual system problems as well as user errors. These lead to system improvements and fixes as well as additional learning by our end users. The team is feeling the pressures of the project along with the campus as everyone works hard to ensure all system functions and interfaces are working as expected, and campus units are properly prepared. This is normal at this stage of the project. Training has started to help alleviate the worry that some of the units are feeling. Training will continue through the next 6 months and after go-live in January. From this point onward we need to focus on the most critical functions of the system and make sure these are solid. More minor issues may not get addressed until after the systems are live.

  • Integration Testing
    • Integration testing by some of our SME leads and units has slowed down a bit but the testing is being supplemented by our core team.
    • Several of our central office testing units will not be able to participate in testing until after fiscal year end closing. Testing by these units will have to pick up strong and hard after that.
    • We switched the integration cycle testing cut-off date for our functional testers to earlier in the cycle to allow for bug fix and retesting before the cycle completes. Integration cycle tests are now aligned with our monthly ledger cycles.

  • KFS Modifications
    • Modifications are completed except for finishing up on some mods for UCOP interfaces and purchasing workflow changes. Planning on a mod freeze date on July 30, 2013.
  • TEM (Travel and Entertainment Management)
    • Coding for TEM is almost complete. Two modifications remain, one to incorporate the chart into TEM, and a second to store mileage rates as 3 decimal points instead of 2.
    • Some testing has already begun on TEM, and additional testing will occur through the integration tests.
  • Chart of Accounts and Data Conversion
    • Small refinements are being made to the chart of accounts as problems are identified during testing.
    • Various business owners are working on reconciling data loads that are being mapped to the new systems.
  • Functional Testing and Training
    • Central offices are doing functional testing to learn the system and understand how their processes work in the new environment.
    • Training classes have started for the campus on KFS basics and new courses are being introduced each month. [training schedule]

  • KFS Decision Support
    • Completed the most complex ledger and balance reports. Working to develop standard table dump reports to allow easier query and download.
    • Completed reports are being moved to SNAPtest.

  • Feeder, Shadow and Campus System Migrations/Testing
    • Most feeder systems have made great progress in their system migrations and currently participating in the integration tests.
    • Student financial systems are planning integrated testing this summer and all units are on track.
    • Shadow systems have made some progress but we still have a lot of work to finish these migrations.
    • Need to start planning cutover process for all our feeder systems.

  • KBM (Kuali Budget Management)
    • The team continuing with the development of this system. Coding should be completed by July 31. Some testing is starting and KBM is now joining our Integration Testing Cycle 5.
    • A report developer from rSmart is being brought in to help develop KBM reports.
  • SciQuest
    • We have reengaged with Sciquest based on our new roll-out date. Work is progressing but additional work was also introduced due to and upgrade with SciQuest. We are working hard to complete further integration coding.
  • SNAPTest
    • Built the KFS SNAP portal in SNAPtest which will become the interface for campuses financial processors and users. Groups for rendering various channels to users were defined and implemented.
    • Working to update SNAP content to work with KFS is in progress.
  • SAMS and KIM
    • Working through and testing manual access request and set-up/change procedures for KFS and non KFS systems. Once we have the manual process worked out, we will work to automate the system (SAMS-2). The fall back plan will be the manual process in case SAMS-2 is not ready in time.


KFS Issues:

  • Data reconciliations – we're making progress on these but still need to complete a number of them.
  • Integration testing by some of our SMEs has greatly slowed due to fiscal year end processing. It is essential that the SMES and central office staff get into the system to learn processing in the new system and help to identify actual test scenarios. Testing will resume mid-August and is expected to be completed by September 30.
  • Staff departures on the functional side have caused some reshuffling of resources and loss of work continuity.
  • Needing to identify critical issues and more realistic project progress for our management team. New processes/tools for updates are being developed for this.
  • Lots of work to be done before implementation. Shifting focus to the most critical functions.
  • Resources are very tight. Working to identify where we might bring in more resources, but these may be difficult to bring in at this time unless we find the perfect fit, or someone with the right experience.
  • Ensuring the campus is ready.
