Tutorial on how to use the Audio-Visual equipment in the LL Event Space
Using the LL Event Space AV Equipment:
Preparing the room for use:
Unlock the front door of the cabinet using the keys (both Communications and IT have keys)
Power on the projectors and camera by activating the wall touch panel (you will need the unlock code from Communications or IT)
Before lowering the two screens, please clear any patrons sitting at the tables directly under the screen. You can then lower the 2 projector screens from the touch panel by pressing the “Down” button under “Screen Control”
Screen sharing:
There are multiple ways to share your screen for a presentation on the projectors:
Use the wall HDMI port: Connect HDMI cable from a laptop to the wall port (near the screens, the HDMI port on the wall near the AV cabinet is a video output not an input). In this scenario, select the wall plate input on the touch panel.
Use the PC in the podium: You can pull out the wireless mouse and keyboard to use the PC in the podium (make sure both the PC in the podium and the wireless mouse are powered on) and use the monitor on top of the AV cabinet (you may need to press the power button on the monitor) . Sign in using your userid@ad.uci.edu account or you can use the guest account.
Use your own laptop and the HDMI cable sitting on top of the AV cabinet:. You can connect a laptop to the HDMI cable that is on top of the AV cabinet. Choose the correct input source from the wall touch panel.
Using the microphones:
The microphones are located in the cabinet drawer.
The microphones are numbered, so power on the corresponding microphone receivers that you plan on using.
To adjust the microphone volume use the touch panel “Microphone Level” button:
Playing music through the ceiling speakers (for example before and/or after a presentation), Connect your device audio output to the 1/8” stereo audio cable on the top of the AV cabinet. Use your device (smart phone, iPad, laptop, etc.) to adjust the audio output volume.
Recording video from the room camera:
To record video make sure the low profile USB thumb drive is inserted in the front USB port of the Video recording component (you will later move it to the AV cabinet PC to examine the video on it). Once the thumb drive is inserted, it takes about 10 seconds for the USB drive to be recognized.
Press the “Start Recording” button (it will take about 10 seconds for the recording to start). Note that the "Start Recording" button just blinks while recording. When done recording video press the "Stop Recording" button (which continues to blink indefinitely even after done stopping the recording). Stopping the recording only takes a few seconds, and then the USB thumb drive in the video recorder component can be removed to check the video.
Put the USB thumb drive from the video recorder unit into the AV cabinet PC USB port (or a laptop, etc), and make sure the video was saved, double click on the video file and open it in VLC to confirm that it looks correct.
Note that the audio recorded is from the microphones and optional external audio cable. If this audio does not seem loud enough you can adjust the audio levels on the Configuration Tab on the web interface. Note that the mute next to the camera image does need to be checked because no audio is coming from the camera.
Controlling the camera:
There is a remote control in the cabinet that can change the PTZ controls on the camera, although you need to be in front of the camera for the remote control to work.
You can use the wall panel PTZ (Pan, Tilt, Zoom) controls. Note that to see the camera move in real-time you need to switch the monitor source from the DisplayPort input to the HDMI input (from the Extron video capture device HDMI output):
Returning the room to standby mode:
Power off the touch panel (this will automatically raise the two projector screens)
Alternatively, you can press the Screen Control “UP” button to retract the two projector screens before pressing the “System Off” button, however, PLEASE WAIT FOR THE SCREENS TO COMPLETELY RETRACT before pressing the “System Off” button or else the screens will get stuck and you will need to wait for the system to power off and power it on again to retract the screens.
Power off all of the microphone receivers
Lock the front door of the cabinet
With the exception of the microphone receivers the cabinet equipment (including the PC on the bottom shelf) are to remain powered on at all times.
Troubleshooting:
Problem: Video Preview freezes
Refresh the browser
If refreshing the browser does not work you may need to have the IT Dept physically unplug and plug the camera back in using a ladder.
Problem: Microphone will not connect to its associated receiver
Solution:
Connecting (Syncing) a wireless microphone to a wireless receiver
To connect (sync) a wireless microphone to a wireless receiver so that they have the same frequency (channel)
find the little red IR window on the microphone and align it to face the little red IR window on the particular receiver you want to connect it to
press the "sync" button on the receiver
you should see the text "SYNC" and when the IR signals reach each other "GOOD"
