Conference Rooms Langson Library 570 Hybrid Zoom Meeting with Presenter

1. Prep Instructional Computer:

Note: The presenter can either share content you have available online, stored on the instructional computer, or from a USB flash drive that you connect to the white USB extension cable on the lectern.

Set the monitor source to Display port

  1. Power on the Monitor

  2. Select DisplayPort as source

  3. Click OK to keep settings

Make sure the HDMI switch has the correct port selected:

Press the SELECT button so that the green light is active over INPUT 1

Power on the Projector and set the SOURCE to Zoom Room:

  1. Press the power button to turn on the Projector

  2. Once the projector has fully powered on, if the following image appears on the screen you are already connected to the Zoom Room:

    To change the source to Zoom Room, press the “Source” button on the remote control (located below the Green “On” button,. and use the arrows to select Zoom Room:

3. Click, OK and you can start the Zoom meeting

2. Meeting Host logs into Zoom on instructional PC and preps presentation:

Note: These steps take place on the instructional PC

  1. If any slideshow is to be presented during the meeting, open it now and have it ready to be shown on the screen

  2. Host logs in to Zoom with their account.

  3. In Zoom, host will will share the contents of the screen

  4. In Zoom, host will mute their microphone (the sound will be picked up by the Zoom room microphone)

  5. Adjust the webcam if necessary

3. Join the Zoom Room device to the Host’s Zoom meeting:

 

  1. Join the Zoom Room to the Host’s meeting by Meeting ID

    1. The Co-Host of the Zoom meeting should be prepared to admit participants into the Zoom meeting

  2. On the Zoom Room touch screen, go to “View”:

    1. Verify that the View is set to Speaker, if desired for largest view of the shared screen

    2. If selecting Thumbnail, room 570 and the current speaker will be shown on the screen

  3. Click on the X to close the window
