Add a User to the Watch List

Overview

For  a form of communication primarily used for outward-facing, update information, use the watch list. The additional comments section of a record is visible by anyone on the watch list, including customers, which makes it different than the work notes list. The work notes list, on the other hand, is used for internal communication between those working on a record. To add a user to the watch list, follow the instructions below, and to add a user to the work notes list, follow the Add a User to the Work Notes List guide.

Add a User to the Watch List

1. Navigate to the record to be edited. In the example, a project task is used.
   
   
   
   
2. To add yourself to the Watch list, click the add me button (person icon) to the right of the lock/unlock button.
   
   
   
   
3. To add others to the Watch list, first unlock the list by clicking the lock button.
   
   
   
   
4. In the reference field, add users to the list by searching them up and clicking on their name. **Double check that the UCINetID of the person you selected is correct in order to prevent adding the wrong user to the watch list.**
   
   
   
   
5. Alternatively, you can add users by email address by typing in their email and clicking the email button.
   
   
   
   
6. When users have been added to the list, their names will show up in the list bucket above the reference field.
   
   
   
   
7. To remove a user, click on that user's name in the bucket, then click the X button to the right to remove their name.
   
   
   
   
8. Once finished adding users, click the lock button again to lock the list.
   
   
   
   
9. Finally, click Save to save your changes.
