Current Status
TRS was put under maintenance mode after phase III implementation for represented employees was completed in March 2012.
- No major system enhancements were implemented.
- Roughly 7K employee users at this time.
Ongoing Multi-Campus collaboration with UCLA and UCD
- Monthly UC TRS Functional Work Group Meetings
- 10000+ users at UCLA, also used by UCOP employees
- 1400 users at UCD. Plan to expand to 4000 after bi-weekly conversion
- Collaboration efforts will need to ramp up early next year to implement the core system changes required for UCPath migration.
Future Roadmap
TRS Roadmap for next year will include mostly changes in support of UCPath implementation
- Time Collection Interface - Enhance TRS to provide support for importing raw time reporting data from other systems or time collection devices into TRS for processing, approval and submission into the Payroll System.
The goal is to transition more units to use TRS, as TRS will most likely be the only T&A system in UCI to be interfacing with PeopleSoft programmatically. Other units not using TRS will most likely be using the Excel spreadsheet option.
Project Timeline:- Sept - November 2012: Develop TRS Time Collection Interface
- December 2012: Transition Food Services employees to TRS
- March 2013: Transition additional units
- Bi-Weekly Conversion - Transition monthly non-exempt employees to biweekly pay cycle in preparation of UCPath migration.
Project Timeline:- December 2012 - January 2013: Implement Bi-weekly conversion related changes including:
- Add ERIT support
- Implement appointment percentage based holiday calculation for Bi-weekly career employees.
- Modify TRS to use new quadri-weekly cycle per UCPath holiday standardization.
- March, 2013: Standardize monthly exempt employees workweek to Sunday – Saturday
- December 2012 - January 2013: Implement Bi-weekly conversion related changes including:
- Many other changes to support UCPath implementation and standardization will be necessary. TRS team will work with UCLA and UCD on requirements analysis and development as soon as UCPath design around Time & Attendance interfaces are finalized.
Changes include:- Profile loading. Setup and update of employee and job based on UCPath Employee Dept Info outbound. Update leave balances based on AM balances outbound. Currently these information are retreived from campus DWH interfaces.
- Calculation changes due to new earn codes that work differently than existing ones. Still waiting for examples from UCPath PMO.
- System changes to allow for more granular leave type and reason codes.
- Batch file for submitting to PopleSoft Payroll and Absence Management. Deadline must be managed differently based on UCPath AM and Payroll calendars. Currently TRS submits hours to Payroll via web services in real time.
- Other enhancement to allow calculation result override and possibly FAU override based on our requirement.
Issues and questions related to TRS UCPath migration:
- Should UCPath supervisor information replace TRS primary supervisor assignment? Timing of update may delay timesheet approval.
- Need to decide whether TRS should use Federal holidays if provided by UCPath.
- Assess the impact of department hierarchy change on TRS DTA access control.
