Proposal For OIT Remote Work Pilot

  • Goals
    • Leverage technologies, tools, and processes to improve efficiency and effectiveness of OIT communication and collaboration.
    • Utilize technologies, tools, and processes already used within OIT.
    • To overcome the challenges related to employees who work remotely and the challenges related to OIT being located in different campus locations.
  • In addition to the Pilot proposal for evaluation of the Double Robot, we want to leverage other technologies, tools, and processes.
  • Tools for efficient remote communication and collaboration
    • Zoom for audio and video conferencing, screen sharing, and whiteboard sharing
    • Slack
    • Google tools such as Hangouts
    • Office 365 tools such as Skype for Business, Groups, and Teams
    • Telephone tools such as mobile phone integration with the campus phone system, and softphones
    • Webcams and headsets to facilitate desktop/laptop audio and video teleconferencing

    • Conference/meeting room tools such as projectors, conference phones, and display screens
      • Install displays or projectors, webcams, and Polycom conference phones to allow Zoom sessions between conference rooms and with individuals at their computers (similar to UC Recruit's setup)
      • Evaluate whiteboard sharing options such as the functionality in Zoom

      • Full or part time remote workers who want to increase their presence in the office, in meetings, and to increase their participation in conversations and collaboration with coworkers
      • To reduce travel between OIT locations for meetings by allowing remote meeting participation
      • Improving the continuous communication and collaboration between coworkers who are not in the same location
      • Enable communication and collaboration from room-to-room, room-to-individuals, and individuals-to-individuals
