UCIAA Documentation - Alumni UCInetID How-To

Introduction

Below are 3 example scenarios you may come across:

  1. Alumnus from 1998 who will need to activate a new ‘Alumni UCInetID’ using her 10-digit Advance/Alumni ID#.
  2. Alumnus from 2007 who already has a UCInetID but does NOT have an Alumni ID# attached to it.
  3. Alumnus from 2011 who has a UCInetID with an Alumni ID# attached.

 

IMPORTANT

For email forwarding to work, one must have a UCInetID with an Alumni ID# attached (which you can see in ActAdmin). If they do NOT have an Alumni ID# in ActAdmin, send an email to oit@uci.edu and ask us to assign the ticket to the IDM Team.

In the ticket, ask us to attach their 10-digit Alumni ID# (e.g. 1234567890) to the alumni's UCInetID. Also, please provide the student's full name, year of graduation, major, and whether it was an undergraduate or graduate/advanced degree. IDM needs this info in order to add the correct affiliations to their UCInetID (all alumni get the 'alumni' affiliation. If they got a undergrad degree, they'll also get the 'degree_holder' affiliation or if they got a graduate/advanced degree they'll get the 'advanced_degree_holder' affiliation. Affiliations are hugely important: without them, you can't login to many UCI web services including https://signup.alumni.uci.edu.

Other things to keep in mind.

  • Do NOT use ActAdmin to manually enter an alumni's forwarding address. They must do this themselves using signup.alumni.uci.edu. An alumni's mail delivery point (mdp) should either be UCInetID@gmailbox.es.uci.edu (meaning they signed up for UCI Gmail prior to graduating) or it should be blank.
  • If a user forgets their UCInetID password or their Security Q&A, they can't just reactivate their UCInetID to work around the problem. They must call the OIT Help Desk at (949) 824-2222 so we can verify their identity. Once we vet them, we'll reset their UCInetID so they can then reactivate.
    • We'll ask them for their DOB, last 4 of SSN, and the Security Q&A. We might ask other questions as well for their security.

Alumnus from 1998

In this example, the alumnus is named Jenny and the UCIAA rep is Sarah. Jenny received an Undergraduate Degree in MAE back in 1998.

  1. Sarah should ask Jenny if she’s ever worked for UCI or if she ever re-applied to the University. If she answers ‘yes’ to either one, she should look up Jenny by her first and last name in ActAdmin.
  2. If Sarah can’t find her in ActAdmin, she should ask Jenny what year she graduated.
    1. If it was before 2006, Jenny will NOT have a UCInetID and will therefore not be in ActAdmin. Sarah then searches Advance to see if Jenny received a degree, and if so she can tell her the 10-digit Advance/Alumni ID#.
    2. NOTE: Sarah should do her best to verify it’s actually Jenny on the phone by asking her DOB and last 4 of her SSN.
  3. Sarah directs Jenny to https://signup.alumni.uci.edu/activate.php and tells her to fill out the form using the 10-digit number to activate her new Alumni UCInetID.
    1. NOTE: Please ensure that Jenny enters her name as it was when she was a student.
  4. Within minutes of submitting the form, Jenny will receive an email (to the address she specified in the form) telling her she's successfully activated an Alumni UCInetID! In addition, the email tells Jenny what her new email address is (in their case, it’ll be UCInetID@alumni.uci.edu because she received an Undergrad Degree; Grad students get @uci.edu addresses) and where the email will be forwarded. Also, there are instructions on how she can change her forwarding email address at a future date (by signing in to https://signup.alumni.uci.edu/)

Please follow these steps to set up your email forwarding:

  1. Go to https://signup.alumni.uci.edu/activate.php and fill out the form using your 10-digit Alumni ID (0000000000) to activate your new Alumni UCInetID. NOTE: Please ensure that you enter your name as it was when you were a student.
  2. Within minutes of submitting the form, you will receive an email (to the address you specified in the form) telling you have successfully activated an Alumni UCInetID!

In addition, the email tells you what your new email address is and where the email will be forwarded. Also, there are instructions on how you can change your forwarding email address at a future date (by signing in to https://signup.alumni.uci.edu).

Alumnus from 2007

In this example, the alumnus is named Mary and the UCIAA rep is Sarah. Mary received her Graduate Degree in Public Policy in 2007.

  1. Sarah should ask Mary what year she graduated.
    1. If it was after 2006, Sarah should ask her if she recalls what her old UCInetID was & then search for it in ActAdmin. To help jog Mary’s memory, she should remind her that her UCInetID would have been the first part of her old email address (before the @uci.edu part). If Sarah can’t find the UCInetID, she should search using her full name.
  2. Sarah finds Mary’s old UCInetID, but she notices that a 10-digit Alumni ID# is NOT present at the bottom of the record in ActAdmin.
  3. Sarah then searches Advance and gives Mary the Alumni ID#; however, Mary cannot proceed with setting up alumni forwarding until Sarah ask OIT to attach the Alumni ID# to her UCInetID, which can take a couple of business days to complete.
    1. See the IMPORTANT note above for guidance on how to open this ticket. 
  4. Once Sarah receives confirmation from OIT that this was done, she can direct Mary to visit https://oit.uci.edu/password to reset her forgotten UCInetID password.
  5. Mary will need to know the answer to the security question & answer she created when she first activated her UCInetID back in 2007. If she's forgotten the password or security answer, she'll need to contact the OIT Help Desk.
    1. See the IMPORTANT note to understand the process followed by the HD.
  6. After Mary successfully resets her password, she can then go to https://signup.alumni.uci.edu/activate.php. However, she should NOT fill out the form; rather, she should click the link at the top of the page and login with her UCInetID and password.
  7. On the next page, Mary should enter her 10-digit Alumni ID# and DOB, and once she does her old UCInetID will now be enabled for email forwarding.
  8. Now, Mary can visit https://signup.alumni.uci.edu/ where she can login with her UCInetID and password. Once she does, she can then enter a forwarding address. Any emails sent to UCInetID@uci.edu will now forward to the forwarding address she specified.

Hi Name,

You already have an active UCInetID so all you need to do is reset your password first.

  1. Go to https://oit.uci.edu/password and select the “reset my forgotten password” link near the bottom of the page.
  2. Enter your UCInetID, date of birth, and last 4 of your Social security number in the format requested on the page.
  3. On the next page, you'll need to know the answer to the security question & answer you created when you first activated your UCInetID. If you've forgotten the answer, you will need to call the OIT Help Desk at (949) 824-2222. After throughly verifying your identity over the phone, they can reset your UCInetID so you can activate it again.
  4. Then go to https://signup.alumni.uci.edu/activate.php and do NOT fill out the form; rather, you need to click the link at the top of the page and login with your UCInetID and password.
  5. On the next page, enter your 10-digit Alumni ID# (e.g. 1234567890) and DOB. Once you do, your old UCInetID will now be enabled for email forwarding.
  6. Now, you can visit https://signup.alumni.uci.edu where you can login with your UCInetID and password. Once you do, you can then enter a forwarding address. Any emails sent to UCInetID@uci.edu will now forward to the forwarding address you specified.

Alumni from 2011       

In this example, the alumnus is named Joe and the UCIAA rep is Sarah. Joe received his Undergraduate Degree in Physics in 2011.

  1. Sarah should ask Joe what year he graduated.
    1. If it was after 2006, Sarah should ask him if he recalls what his old UCInetID was & then search for it in ActAdmin. To help jog his memory, she should remind him that his UCInetID would have been the first part of his old email address (before the @uci.edu part). If Sarah can’t find the UCInetID, she should search using his full name.
  2. Sarah finds Joe’s old UCInetID and verifies that the 10-digit Alumni ID# is present at the bottom of the record in ActAdmin. Therefore there is no need to give this number to Joe.
  3. Sarah then directs Joe to https://signup.alumni.uci.edu where he can login with his UCInetID and password. Once he does, he can then enter a forwarding address. Any emails sent to UCInetID@alumni.uci.edu will now forward to the forwarding address he specified.
    1. If he's forgotten his password, Sarah will tell Joe to https://oit.uci.edu/password and select the “reset my forgotten password” link near the bottom of the page.

To setup alumni email forwarding, visit https://signup.alumni.uci.edu/ and login with your UCInetID and password. If you can't recall your password, visit https://oit.uci.edu/password and select the “reset my forgotten password” link near the bottom of the page.

Once you're in, you can enter a forwarding address. Any emails sent to your UCI email address will now forward to the address you specified.
