Modifying Folder Access in Cognos

The owners of their 'User' folder will have full privileges to grant access within their folder to other Cognos users. These are instructions on how to manage these permissions.
Viewing Permissions
Click on the 'Properties' Icon to the right of the folder name
Go to the "Permissions" tab
Modifying Permissions
If is isn't checked already, make sure to check the "Override access permissions acquired from the parent entry" option at the top. To view the detailed permissions, check the box next to the name you would like to view. From this example, you can see that "All Authenticated Users" have Read, Execute and Traverse permissions. This means that all users logged into Cognos can view reports, run reports or traverse through sub-folders within this directory.
To modify access, you can just check or uncheck the permissions you would like the user to have or not have. DO NOT check the deny box for any permissions, since this could cause access problems for the users that you DO want to have access. Once the permissions are set the way you like, click on the 'OK' button.
Adding users
To add a role or user to your folder, click on the "Add..." link under the user list.
To add a specific user to your folder permissions, click on the "UCINetIDAuth" link.
You will need to type in the UCINetID of the person you would like to add. Click on the "Type" link at the top right-hand side of the window.
Type in the user's name using the format "UCINetIDAuth/<users ucinetid>". For example for Valerie Jones it would be "UCINetIDAuth/vjones". No not include quotes. Click on the yellow arrow to search and populate the name into the "Selected entries" box. Once the name returns, click "OK".
Saving Permissions
This will take you back to the Permissions tab where you can now modify the access for the new entry. Click on the box next to the user's name to grant the desired permissions.
Click on 'OK' to save the changes.
