Overview
One helpful feature of the Contract Management application in ServiceNow is the ability to link users to a specific contract, or show which users are covered under a contract. For example, a contract for LastPass subscriptions could be covering subscriptions for 20 different users and, after linking them to the contract record, you can see the entire list of users that are covered from one place–the contract record. This is also extremely helpful in tracking expenses (i.e. how much each user is costing OIT) as well as knowing exactly how many subscriptions or licenses are left to give out to users.
Edit Users Covered Under a Contract
- Navigate to the contract record to be edited.
- Scroll down and click on the Users Covered tab under the Related Links section.
- To add a user, click on New.
- Enter a user in the User reference field.
- Enter a date in the Date Added field.
- If you know when the user will no longer be covered under the contract, enter a date in the Date Removed field.
- Click Submit at the upper right-hand corner of the content frame.
- To remove an already added user, double-click on the Date Removed field in the list view.
- Use the calendar to select a date.
